TVRVC RALLY SIGN-UP POLICY

Board approved 3-11-2011

The following policy deals with individual (rig) signing up for a rally trip:

A.                No members will be allowed to sign up for any RV Club trip prior to the date established for sign-ups by the trip leaders in order to allow equal participation by all club members.

B.                 Only members present at the club meeting are allowed to sign themselves up.  If not present at the meeting, you are required to call the wagon master for sign-up, subject to the announced sign-up date.

C.                At the discretion of the wagon master, a deposit may be collected at the time of sign-up.  This is considered your good faith commitment that you intend to make the rally trip.  This deposit may be applied to your overall campground fees or any other rally event that has a cost, which you elected to participate in.  Non-refundable deposits may be required for some activities due to conditions set by some venues or businesses, such as chartered boats, busses, catered meals, etc.  They will be posted up front.             

D.                Any other rally trip event(s) involving an upfront fee is subject to Item B above.

E.                 Reservation procedures will be explained at the time of sign-up with the wagon master.

F.                 Members may not call the campground directly to make reservations for a trip unless they have been directed to do so by the wagon master for that particular trip.  This would apply to all members going on that trip.

G.                If the wagon master made the reservations at the campground for the participating members, then any cancellations or refunds will be handled by the wagon master.  If the member dealt directly with the campground for registration, then they will deal directly with the campground for cancellations or refunds.

H.                In either case, the member must notify the wagon master of any cancellations AS SOON AS POSSIBLE so a member on the waiting list can be given an opportunity to take part in the trip.

Please check your calendars to make sure you can make the commitment when signing up for the rally.  Information on the rally trip is available on the RV Club website (TVRVC.ORG) or at the RV Club monthly meeting.
